PMFriend and Yardi: what PMFriend adds

We get asked this: we have Yardi. What would PMFriend add?

Yardi stays your system of record. PMFriend runs the repair loop beside it:

Your accounting, leases and service-charge billing stay where they are. PMFriend is tested with 2,000 units.

How to read this page

Yardi's side, in the shared column and in its own, is how Yardi describes its products on its public pages, read on 6 November 2026, with a link to each page. The connector's release and its listing in Claude's connector directory were read on 5 November; the listing is where its work-order actions come from. CommercialCafe is Yardi's portal for commercial tenants; its resident portal, RentCafe, wasn't read for this page. Yardi changes its products. What you have depends on your licence, and Yardi says its AI features vary by market and region, so check with your Yardi account manager. Something out of date? Tell support@pmfriend.com and we'll correct it.

Module by module

If your Yardi licence includes these modules, the last column, What PMFriend adds, is what you gain beside them.

PMFriend adds something in all 9 areas.

Each row starts with the common functions. Then what stays in Yardi, in its own words, and what PMFriend adds.
Yardi moduleCommon functionsStays in YardiWhat PMFriend adds
Maintenance IQ

AI sorts work orders, reads the photos and flags emergencies, which start the response you set up. Planned maintenance, and a board for getting units ready for the next tenant (Yardi; PMFriend: repairs, on call, next tenant).

–

The job waits for the tenant's "fixed", and "not fixed" sends it back to the contractor. Tenants report on WhatsApp in 16 languages, with text, photos or voice notes, and the AI asks for what's missing. Owners approve in one tap. A repeat fault on the same AC or lift within 30 days is flagged.

Maintenance IQ, for technicians

Technicians get their jobs in Yardi's app, or on PMFriend's link. In Arabic too: Yardi's app can be set to it, and PMFriend translates each job (Yardi; PMFriend: job links, translation).

Technician assist, and AI that rewrites technicians' notes. The app works without a connection, takes voice notes and calls residents without showing the technician's number. It also comes in Spanish, French Canadian, German and Dutch. Photos are timestamped on the work order. Parts are ordered from the job, which creates a purchase order.

Each job in the worker's language in one tap: Hindi, Urdu, Malayalam, Tamil, Bengali, Nepali, Tagalog, Sinhala, Ukrainian or Russian, as well as Arabic. It translates exactly the job you sent, and shows the English when it can't. Nothing to install and no login.

Inspections

Inspections as part of maintenance (Yardi, PMFriend).

Damage found on an inspection, or while a unit is made ready for the next tenant, becomes a charge to the resident, against the security deposit, posted automatically.

The AI writes the report from the checklist and notes taken on a phone. Each move-out item shows its move-in condition beside it. The tenant agrees or disputes by link, findings become jobs, and the owner gets a copy.

Facility Manager

Scheduled maintenance and compliance checks. Warranties and a history for each piece of equipment. Tenants' requests (Yardi; PMFriend: equipment, warranties, compliance).

A technician app for iOS and Android that keeps working without a data connection. Templates for regulatory and due-diligence inspections. Purchase orders, payables and charges worked out from the work order. Labour reports.

Civil Defence, lifts, chillers and Kahramaa in one register. Arabic certificates and Hijri dates are read for you to check. A QR label on an AC or a lift lets anyone report a fault on it, with no app. The Attention Inbox shows what needs someone now, worst first.

VendorCafe and VendorShield

Contractors sign themselves up, upload their papers and get expiry alerts. Their papers are checked against your requirements. Only approved ones are used. Each one's performance is tracked (VendorCafe, VendorShield, PMFriend).

Yardi's compliance experts collect and audit vendors' insurance. Vendors are searched against government watch lists.

One link per contractor with all their open jobs, no login and no app. Qatar's papers on file: the CR, the Kahramaa licence and the Civil Defence approval, each with its date and a copy. Papers they send are read for you to check, in Arabic too. With your rules on, a job waits while a paper has lapsed, unless an admin sends it with a reason. Each contractor's "not fixed" rate, from tenants' answers. A gate-pass letter in English and Arabic, with a QR code that building security scans.

Service Contract Manager

A register of recurring contracts and their documents. Reminders before expiry, renewal and renegotiation. What each contract costs and how it performs (Yardi, PMFriend).

Reminders for amendments, and automated approvals. RFP tools to source a contract, and YSign e-signature. Contracts linked to purchase orders and invoices.

Filled in from the signed PDF, in English or Arabic. The reminders count down to the last day to give notice, each with what the firm delivered under the contract. A request on a unit under contract goes to that firm in one tap.

CommercialCafe Tenant Portal (commercial tenants)

Tenants report repairs and follow them (Yardi, PMFriend).

A tenant portal whose features switch on and off. Some clients use it only for work orders.

No login and no app. Tenants report on WhatsApp, follow the job on one link, answer "fixed?" and rate the repair.

Chat IQ

AI that replies to tenants. They can speak instead of typing: voice in Chat IQ, WhatsApp voice notes in PMFriend. A repair they report goes to the maintenance queue (Chat IQ, Maintenance IQ, PMFriend).

Text messages as well. Chat IQ also helps with leasing, renewals and late rent.

On WhatsApp, in the tenant's language. Replies, follow-up questions and status answers go out in their language, and you read the conversation in yours. PMFriend has no SMS: in the critical Google reviews of 30 towers, compounds and property companies in Qatar that we read, WhatsApp came up in 8 and texts in 2.

Virtuoso connector

A Claude connector to your data, within each user's permissions. It can create, look up and close work orders (Yardi, Yardi's release, Yardi's listing, PMFriend).

–

ChatGPT, Gemini and Microsoft Copilot Studio as well. On Microsoft 365, Copilot Studio is usually the one to start with. It answers from what PMFriend records: whether the fix held, each contractor's "not fixed" rate and repeat faults on the same equipment. Changes it proposes wait for a person to approve them, and most can be undone for 24 hours.

What stays in Yardi

PMFriend's focus is maintenance and day-to-day operations. Everything else stays in Yardi: accounting, budgets, leasing, resident payments, purchasing and construction. So do your technicians' timesheets, parts and purchase orders, if you keep them there. PMFriend doesn't touch them.

So you keep everything Yardi does for you, and add what PMFriend does around each repair.

How the two work together

Once your IT team connects them, nobody types a job twice. Every new PMFriend job goes into Yardi by a signed webhook, or by e-mail where your Yardi set-up takes work orders that way. Your technicians can work on PMFriend's job link or stay in Yardi's app. If they close a job in Yardi, your IT team can send that "done" back with PMFriend's status call. The tenant still confirms: they are asked "fixed or not?", and their answer closes the job or sends it back.

  • Connecting it: see Jobs into your helpdesk or CAFM and the webhook and status call. For a "done" from Yardi to count, the job is first assigned to your technicians in PMFriend, as to a contractor. A direct connector to Yardi is a separate project we scope with you.
  • Your own technicians on PMFriend's link: all their open jobs, with nothing to install and no login. It runs on mobile data or Wi-Fi, and a photo taken where there's no signal goes in from the phone's gallery once it's back. Their timesheets, parts and purchase orders stay in Yardi if you keep them there.
  • Your other systems: PMFriend works with 41 systems, by direct sync, e-mail, webhook or file: ServiceNow and Microsoft Dynamics 365 among them, IBM Maximo, Odoo and eFACiLiTY by e-mail, and accounting from Xero to NetSuite and TallyPrime.
  • Getting started: properties, tenants and contractors come from a spreadsheet or from the lease contracts.
  • WhatsApp: it runs on your own WhatsApp Business number, connected during setup.
  • AI and your team: the AI suggests and drafts, and your team decides. Owner updates, notices and replies are sent by someone on your team. What goes out on its own →
  • Your team's screens are in English. Tenants, technicians, contractors' workers and owners read their own language or Arabic.

What it gives back

  • Proof of which repairs held. A job closes on the tenant's "fixed", so you see each contractor's "not fixed" rate (scorecard). A repeat fault on the same AC or lift within 30 days is flagged before the job goes to the same contractor again (repeat faults).
  • An invoice above the agreed price is flagged before anyone pays it. The contractor's invoice is read and checked against the price agreed on the job. In our example, an AC company bills QAR 1,850 for a repair the owner approved at QAR 1,500, and the QAR 350 is queried. PMFriend never pays anything: you pay from Yardi as before.
  • Reception's time. Reading and sorting tenants' WhatsApp messages takes 2 to 3 hours a day per desk, by our estimate. The AI does that first pass, in the tenant's language, around the clock. And nobody at the desk has to explain each job to a worker: one tap translates it.

Worked example: 8 towers or 15

Illustrative; every portfolio differs. We assume about 120 units a tower; yours may be bigger or smaller. The price is the published Qatar formula: about QAR 8,400 a month for the platform, plus about QAR 8.40 a unit a month (Qatar pricing).

A month8 towers15 towers
Units, at 120 a tower9601,800
Units × QAR 8.40QAR 8,064QAR 15,120

TotalQAR 16,464QAR 23,520

Launch partner, year one: no platform fee, for 500 units or moreQAR 8,064, or QAR 1,008 a towerQAR 15,120, or QAR 1,008 a tower

What it's weighed against, a tower a month, from the estimates on our own pages:

  • Explaining jobs to workers by hand: about QAR 1,500 to 2,000 of one receptionist's time (worker translation). A busy tower with reception round the clock has 3 to 4 people across shifts: QAR 4,500 to 8,000.
  • Reading and sorting WhatsApp messages: 2 to 3 hours a day per desk (WhatsApp). It isn't counted in the sums here.

With one desk a tower, the translation time alone (QAR 1,500 to 2,000) is close to the list price of a tower (QAR 1,568 to 2,058) and above a launch partner's (QAR 1,008 in year one). With reception round the clock (QAR 4,500 to 8,000), it's about two to five times the list price. The pilot measures your own numbers.

What it costs

  • The pilot: one building, four weeks, no guarantee. We measure the results with you and compare them at week 4. Before go-live we agree what to measure, for example the time from a tenant's message to an assigned contractor, and note your numbers from before. Pilot onboarding is a one-off QAR 12,600: the six import files, the WhatsApp number, team training and four weeks of go-live support. It's credited in full when you sign for the whole portfolio. Onboarding checklist →
  • Then the portfolio. About QAR 8,400 a month for the platform plus about QAR 8.40 a unit a month, in Qatari riyals; the final figures depend on your unit count, modules and term. No fee per user, and never a share of your service-charge spend. RDSC dispute packs and the service-charge ledger are priced separately; jobs in the worker's language are included in every plan. Portfolio pricing →
  • Launch partners: two seats, for operators with 500 units or more. No platform fee in the first year, in return for one reference case study and a 30-minute product call each month.

Next steps

  1. Open the sandbox. Corniche Property Management is a made-up operator with towers, compounds and contractors. Or open a technician's job link, as your technicians would see it. No sign-up for either.
  2. Book a short video call about one of your buildings. Send a WhatsApp message as a tenant while we talk, and we show you where it ends up.
  3. Start the pilot on one building: four weeks, measured with you. Write to us.

You keep your data. An admin can export your core records as spreadsheets at any time: properties, people, leases, jobs, compliance, equipment and inspections. Your data, exportable →
