Service contracts

What's in it for the business

A lift contract that renews by itself because nobody saw the notice date is another year at the same price with the same firm. PMFriend reminds you before that date, with the firm's own record under the contract in the same message, so the decision comes with its evidence.

Tower A's lift contract runs until 31 March 2027 at QAR 96,000 a year, with 60 days' notice. The air conditioning is with another firm. That usually lives in a spreadsheet, a folder of PDFs and one person's memory. Here each building or property holds its contracts: who with, what for, the dates, the value, the notice period and the signed copy.

The register: what each contract costs, when the decision goes away, and what the firm has delivered Where to find it: sidebar → Service contracts. A building's page and a property's page show theirs too.

Add one from the signed PDF

Press Add a contract and add the PDF or a photo. PMFriend reads it, in English or Arabic, and fills in the firm, the dates, the notice period, the price and whether it renews by itself. You check every field, choose the building or the property, and press Save. Nothing is saved before that, and the file then stays with the contract.

It says what's on the paper: if no notice period is printed, none is proposed. A date worked out from a length or from a Hijri date says so. If the file can't be read, you type the details in, and the file is still kept. The firm is picked for you only when the name on the paper clearly is one of your contractors.

The reminders count down to the day that matters

On a contract's end date there is nothing left to decide. So the reminders come 90, 60 and 30 days before the last day to give notice: for the lift contract above, 30 January, not 31 March. With no notice period they count to the end. Once the notice date has gone, one more comes 30 days before the end, to say it renews or stops.

Each reminder says what to decide with:

Give notice by 30 Jan 2027: Lift maintenance, Tower A. With Falcon Lift Services, QAR 96,000 a year. It renews by itself on 31 Mar 2027 unless notice is given. Under it so far: 6 jobs, 3 of 5 on time, 1 the tenant said not fixed, QAR 9,350 paid on those jobs.

Within 30 days of the decision it also comes up on your Attention Inbox, and so does a contract that has just ended with nothing recorded after it.

Renew on a contract opens the next term with its dates filled in. It's a new contract, so the old term keeps its own record and its own copy, and the reminders on the old one stop.

A contract's page lists its jobs, found for you: that firm's jobs at that place during the term, leaving out other kinds of unit, plus the jobs of the planned maintenance under it. For each it says whether the visit was on time, what the tenant answered and what was paid. A planned visit is on time inside the month it was due; any other job by the day it was booked for.

Paid on those jobs is what went out on top of the contract's own price. When an AMC excludes parts, that's the number worth reading before you renew it.

Jobs go to the firm under contract

"HVAC is with another firm" stops being something to remember:

  • A request on a unit the contract covers says so, and goes to that firm in one tap: the job is made, the tenant is told, and the link goes on WhatsApp or by e-mail.
  • The contractor list puts that firm first when you send a job on that unit, and says why.
  • Planned maintenance: tick the plans that run under a contract. Their job at that place goes to that firm, and the plan's usual tradie gets the rest. The plan's list of properties shows who each one goes to.

What has no contract

Under the register, the lifts, chillers and a building's fire systems on your asset list with no contract in force, each with Add its contract. Maybe one exists and isn't here yet; maybe nobody is looking after them. A contract that ends puts its units back on the list.

For Qatar

Values are in QAR, an Arabic contract is read the same way, and a Hijri date is converted and flagged for you to check. A fire contract shows the company's Civil Defence approval from its contractor card: the grade and the expiry, or that none is on file. That comes from what you recorded, not from a check with the authority.

In Australia

The same for a strata building's lifts, essential services and cleaning, in AUD. Your owners' corporation still decides: PMFriend tells you when, and with what.

Good to know

  • A reminder comes from the dates you recorded. It isn't legal advice on what the contract says.
  • A contract's price and payments stay in your ERP or accounting system. Tenders, approvals and e-signatures stay with your procurement and legal tools.
  • Claude or ChatGPT can answer "which contracts need a decision this quarter?" and "is the lift firm worth renewing?" once connected.
