Owners, tenants and leases by hand

Unit 1204 changes tenant on 1 December. A second owner joins the title. A tenant has a new mobile number. None of this needs a spreadsheet: you do it on the property's page, in a minute. The CSV import and contract import stay the fastest way to bring in a whole portfolio.

Owners

On the property's page, Ownership structure → Add owner:

  • choose an owner already in PMFriend, or type a new one (name, e-mail, mobile);
  • the first owner of a property becomes its primary contact: owner updates and approval requests go to them;
  • a share is optional (e.g. 60 and 40). The shares recorded add up to 100% at most.

Ownership structure on the property page: the primary contact and the share, Add owner, and the pencil to change
them

The pencil next to an owner changes their share, makes them the primary contact, or removes them from the property. Removing an owner from a property keeps them under Owners, with their past updates. When the primary contact leaves, the owner with the larger share takes over.

Under Owners, Add owner adds someone not yet linked to a property, and Edit in an owner's panel corrects their name, e-mail, mobile or portfolio label.

Tenants

Under Tenants, Add tenant adds a person by name, e-mail and mobile. Edit in their panel changes the rest: date of birth, emergency contact, pets, notes. A tenant is linked to a property through their lease.

Leases

On the property's page, the lease card has Add lease (or New lease when there is one already):

  • Tenants: find people already in PMFriend, or type new ones. You can add several.
  • Dates: the start date; for a fixed term, its end date.
  • Rent and how often it's paid (weekly, fortnightly, monthly, quarterly), and the security deposit if you have it.
  • Replaces the current lease is ticked when the property has one: that tenant moves out the day before the new lease starts. Untick it for a second lease in the same property, such as a room let separately.

Nothing is saved until the whole form is right, so a mistake never leaves a half-made tenant behind.

The lease card on the property page: tenants, rent, dates, deposit and rent paid to, with New lease and Record
move-out

The move-out, and leases that start on their own

  • Record move-out on the lease card takes the last day the tenant lives there. The lease ends the day after. Their messages then stop landing on this property, and a lease-end deadline (in Qatar, the deposit back within 14 days) counts from that day. They're staying takes the date back.
  • The end of a fixed term ends nothing by itself. In Australia the tenant usually stays on, periodic, so the lease stays current until you record the move-out or a new lease replaces it.
  • A lease starts on its start date. Recorded ahead, it shows as the next lease on the property's page, and on the morning it starts (the property's own time, Perth or Doha alike) it becomes the current lease. From then on the new tenant's messages land on this property.
