Getting started
This page walks you from "I've got a login" to "my agency is live and my team's using it" in roughly 30 minutes.
Before you start
You'll need:
- A PMFriend agency account (the email PMFriend has set up for you, plus a password). If you don't have one yet, apply for the pilot.
- A spreadsheet of your properties (CSV from PropertyMe, PropertyTree, or Console Cloud — exports work; we'll show you which columns we look at).
- A list of your preferred contractors.
- About 30 minutes for the initial setup.
Step 1 — Log in
Go to app.pmfriend.com, enter your email + password. First time in, you'll see the Agency overview dashboard with mostly zero numbers — that's expected.
Step 2 — Import your properties
Go to Properties in the left sidebar → Import from CSV.
Drag-and-drop your CSV file. PMFriend reads the column headers and suggests mappings — you usually just click through the wizard accepting its suggestions.
Step 3 — Add your contractors
Go to Contractors → + Add contractor.
For each one: business name + email/mobile + trades + insurance expiry
- ⭐ Preferred flag.
Don't worry about importing a perfect list — start with the 5-10 you use most.
Step 4 — Generate compliance tasks
Go to Compliance → click Generate for property for each property.
PMFriend creates the per-state compliance register in seconds: smoke alarms, pool certs, gas, electrical, minimum standards, insurance, inspection schedule.
Step 5 — Invite your team
Go to Settings → Team → + Invite member.
Each invitee gets their own login + role (Agency Admin / PM / Read-only). The invite email is a one-click setup link.
Step 6 — Set owner approval thresholds
Go to Properties → [pick a property] → set Owner approval threshold.
This is the dollar amount above which work orders need owner sign-off.
Step 7 — Try the AI features once each
To get a feel for how PMFriend will fit your workflow:
- Maintenance: Go to + New request, type a sample issue, pick a property, watch the AI suggest a category + urgency.
- Inspection report: Go to Inspections → New inspection → pick a property → click Load example → click Draft report.
- Owner digest: Go to Owners → [pick one] → Draft digest.
You're live
That's it. Your agency now has:
- Your full property list, with addresses, owners, tenants
- A per-state compliance register for every property
- Your preferred contractor list
- Owner approval thresholds set
- Your team invited, with role-appropriate access
