Properties you no longer manage

When an owner moves to another agency or sells, archive the property instead of leaving it in your lists, where its reminders would keep asking for work you no longer do.

Where to find it: open the property → Archive this property… at the bottom of the right-hand column.

Before you archive

Every job at the property has to be closed or cancelled first, drafts included. If one is still open, PMFriend lists them with a link to each, and Archive stays off until they are done. That way no tradie is left with a live job at a property you no longer look after.

What changes

  • Its reminders stop. No compliance alerts, nothing overdue for it in Attention or on the compliance register, no "rent behind", and the planned-maintenance plans skip it.
  • It leaves your lists. The Properties page hides it behind Archived (n). The property lists for a new request, an inspection or an e-mail don't offer it, and the dashboard counts only the properties you manage.
  • It leaves the owner's updates. The owner digest and the owner's portfolio no longer include it.
  • A new job waits. A request there can't become a job until you restore the property.

What stays

  • The tenant's report link keeps working. A tenant nobody told can still report a problem. It lands in your queue with This property is archived. Restore the property to give it a job, or use Close without a job… and tell the tenant who to contact now.
  • Its history. Jobs, requests, documents, compliance records and the audit log stay on the property page, and the data export includes it with the date you archived it.
  • Case packs. You can still build one for it, for a tribunal case after the management ended.

Restoring

Open the property (Properties → Archived (n)) and press Restore in the banner at the top. Its reminders, lists and the owner's updates come back as they were.

💡 Real-life example: The owner of 9 Harbour View Road, Manly sells in March. Sarah waits for the last job, the smoke alarm service, to close, then archives the flat. Its rent reminder and next year's smoke alarm check leave her Attention list. In April the tenant uses the old link to report a dripping tap. The report lands in Sarah's queue marked archived, and she closes it with a message telling the tenant to contact the new agency.
