Importing from contracts
AI reads your contracts for you. Upload the pack of lease or sale contracts, as PDFs or phone photos, in English, Arabic or both. Each one is turned into the unit, owner, tenants, dates, rent, deposit and furniture list, with the sentence each field came from. No spreadsheet, no PMS export, no template.
It is the quickest way to start a pilot building or a small portfolio: a building's contracts in, checked and confirmed, in an afternoon.
If your leases live as PDFs, scans or paper rather than in a system, you don't have to type them into a spreadsheet first. Upload the contracts themselves.
Import → From contracts (PDF or photo) → Choose contracts. Drop one file or a whole pack: a PDF, or a JPEG / PNG / WebP photo of each page, up to 20 MB each.
What happens next
-
Each contract is read in the background. A short lease takes a few seconds and a 20-page scan about a minute, so you can keep working. The list shows Reading… and then Ready to review.
-
You review it next to the original. The contract is on the left and the fields are on the right. A coloured dot next to a field shows how sure the reading is:
- green: clearly stated;
- amber: worth a look;
- red: check it.
Hover the dot to see the exact passage the field came from. A field with no dot was not found in the document; fill it in yourself.
-
You confirm. Only then is anything created:
- the unit: found by its address, or created;
- the owner: the landlord of a lease, or the buyer of a sale;
- the tenants: found by e-mail or mobile, or created;
- the lease: dates, rent, how often it is paid, and the security deposit;
- the inventory of a furnished unit: each air conditioner, fridge, cooker, washing machine, water heater or piece of furniture becomes equipment on the unit, so a repair request can be linked to it and repeat failures show up;
- the contract itself, filed on the lease (Qatar: in the Arabic slot when the contract is Arabic or bilingual, since the Arabic text prevails) or, for a sale contract, in the unit's documents.
If you would rather not import a contract, Discard it: the file is deleted.
What is read, and what is not
| Read | Never read or kept |
|---|---|
| unit address, area, Qatar zone or postcode, type, furnished or not | ID numbers: QID, passport, Emirates ID, commercial registration |
| landlord or buyer: name, e-mail, mobile | bank account and IBAN details |
| tenants: name, e-mail, mobile | signatures |
| start and end date, rent, payment frequency, number of cheques, deposit | |
| sale: handover date, end of the defects liability period, price | |
| the inventory annex, line by line |
Monthly rent paid by twelve post-dated cheques is recorded as monthly rent, with the number of cheques shown for reference. If a contract states only a yearly rent, the reading divides it by twelve and tells you it did, so you can check.
Safe to upload twice
The same contract confirmed again changes nothing: the unit, the tenants and a lease with the same start date are recognised, and the same inventory line at the same location is skipped. A lease that already has a contract on file keeps it.
Good to know
- Tenants need an e-mail or mobile number so that their WhatsApp messages find their unit. If the contract has neither, add one on the review screen.
- Qatar addresses need the zone number: zone, street, building. A contract that only names the tower can't be placed until you add the zone.
- Contracts you never confirm are deleted after 30 days.
- The reading is done by Anthropic's Claude and, unlike every other AI step in PMFriend, it gets the whole document: reading the contract is the job. Nothing it returns is saved before you confirm, and Anthropic does not train on it. See Privacy & data residency.
- Import is switched on per account. On the public sandbox it is off; ask us to switch it on for yours.
Prefer spreadsheets?
The CSV import still does all of this from your PMS or ERP export, for any number of units at once.
