Owners Overview
Owners are where property managers lose retention. Not because their PMs are bad, but because owners rarely see the work happening. PMFriend's owner surface is designed to fix that.
Owner records
Each owner has:
- Full name
- Email + mobile
- One or more linked properties (many-to-many)
- Approval threshold — the WO cost ceiling beyond which their explicit consent is required (default $500, editable per property)
Owners are created implicitly during property CSV import (the owner_email
column does a find-or-create) or explicitly via POST /api/v1/owners.
What owners receive
- Fortnightly digest — Claude-drafted prose email of maintenance + compliance activity, PM-reviewed before send. See Fortnightly Digest.
- Approval requests — when a WO exceeds threshold, the owner gets a short email with the scope + quote and a Yes/No link.
There is no owner login today. Approvals happen via one-click magic-link URLs (same pattern as contractor dispatch). A proper owner portal is on the roadmap but isn't the priority — the PM remains the single point of contact.
What owners do NOT receive
- Monthly trust statements (that's your PMS's job).
- Raw maintenance request text (privacy — only summarised in digests).
- Contractor contact details (the PM mediates).
