WhatsApp intake

Tenants use the number they already have. In the language they already speak.

A photo of the leak, a four-second voice note in Hindi, a location pin from the driver's phone — every message lands in the inbox as a transcribed, classified request, and the tenant gets an acknowledgement back in their language within seconds. Arabic, Hindi, Urdu, Malayalam, Tamil, Bengali, Sinhala, Tagalog, Ukrainian, Russian — and English.

  • Photos travel with the job — the plumber sees the leak on the job page before leaving the van
  • Voice notes transcribed on arrival; three photos sent seconds apart become one request
  • "Reply 1 if fixed, 2 if not" — the tenant closes the job, not the contractor; a 2 lands on your home screen in red

The technician never logs in. And reads the job in Hindi.

Every dispatched job generates a 14-day URL the contractor opens on their phone — that's the live page in the bezel. Address with a map, the scope in their own language, accept, schedule, on site, done with a final cost and before/after photos. No passwords. No app. Lost the link? The coordinator re-sends it on WhatsApp from the agency number in one click.

  • No login. The link IS the access. Tokens are SHA-256 hashed server-side.
  • One tap, their language. Hindi, Urdu, Malayalam, Tamil, Bengali, Nepali, Tagalog, Sinhala, Arabic — the scope re-renders, right-to-left where it should.
  • Final-cost capture. Contractor types the number when they finish; it lands in your work-order ledger.
  • Gate pass on the same page. Tick it at dispatch and the technician shows security a bilingual pass with a QR that verifies against the live job.

A photocopy is not a pass. A letter from last month stops working by itself.

Towers and compounds in West Bay, The Pearl and Lusail ask for an agency authorisation letter before a contractor gets past the gate. Today that's a Word template, a signature, and a photocopy that works for anyone, forever. PMFriend prints one per job, in English and Arabic, and security checks it with any phone.

  • Unique pass number in a large band and as a faint watermark across the page
  • Validity window — three days around the scheduled visit, printed in green, or until the job is closed, whichever comes first
  • Scan-to-verify QR — security sees VALID, EXPIRED or NO LONGER VALID in English and Arabic, plus the company to match against ID. Never tenant details.
  • Dies with the job. Complete or cancel the work order and every pass ever printed for it stops verifying. Nothing to revoke, nothing to phone in.
  • Your call, per job. Tick "include gate pass" at dispatch and the technician carries it on their job page; switch it on later if security asks.

Every message the AI writes for an owner, tenant, or contractor is reviewed by a property manager first. The only automatic messages are fixed templates with no AI text in them (acknowledgements, status updates, "reply 1 if fixed, 2 if not"). No hallucinated legal advice. If the AI flags an urgent issue, it's a suggestion — the dispatch only happens when a human hits the button.

Will we need to replace our ERP or CAFM?
No. PMFriend is the operations layer beside them. Your ERP keeps accounting and contracts; your CAFM keeps assets and PPM schedules if you have one. We own the tenant-to-contractor loop — intake, triage, dispatch, gate pass, "did it get fixed?" — and the memory of it.
Do our tenants or contractors need an app?
No. Tenants use the WhatsApp number they already know — photos, voice notes, any language. Contractors get a link on WhatsApp; the job page opens in their language. Nobody installs anything, nobody has a password.
Which languages?
Tenant intake and acknowledgements: Arabic, Hindi, Urdu, Malayalam, Tamil, Bengali, Sinhala, Tagalog, Ukrainian, Russian and English. Worker job pages translate on one tap into the same set plus Nepali. Your staff can sign in with Microsoft Entra ID or Google. Gate passes and lease records are bilingual English/Arabic. Owner updates are drafted in Arabic, English, or both in one email. The staff interface is English today.
Where is our data?
On Amazon Web Services: today in AWS Frankfurt (EU), with inbound email received in Sydney. A dedicated deployment in AWS Bahrain (me-south-1) or UAE (me-central-1) is available on request for your contract. Each operator's data is isolated inside the database by row-level security, with 14-day point-in-time backups, and the AI model gets only what a task needs — for triage, the report text and photo, never the tenant's name, number or ID. What does onboarding look like?
Properties, tenants, owners and contractors from a spreadsheet in about an afternoon per building; connect your WhatsApp Business number; enter your Aqarat licence once. No API integration is required to start. We run the first building with you as a paid pilot — QAR 12,600 (≈ €3,000), credited in full when you sign for the whole portfolio.
Can we leave?
Any admin can export everything as a ZIP of spreadsheets at any time, and the properties, tenants and contractors files re-import into anything that reads CSV. Lock-in is a reason not to buy, so there isn't any.
